Who we are
Sync Us is operated by Sync Us Limited, a company registered in England and Wales under company number 17319469, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. Sync Us Limited is the data controller for the personal data described in this policy. Contact us at support@sync-us.online.
What we collect
We collect the details needed to run your trip, including its name, dates, destination and member names. Depending on the features you use, this can include preferences, votes, polls, flight details, booking status, payment marks, pay handles, shared contacts and files or links you choose to add to the wallet. If you create an account, we also hold your email address, account details and profile. If you give us your email address when you start a trip, we hold it so we can send you the trip link back, and we record separately whether you asked to receive our emails. Our servers also record basic technical logs, such as IP address and browser type, to keep the service secure and working.
How we use it and our legal grounds
We use this information to provide the shared planning workspace, build the group plan, keep booking and payment records, and show members the trip content they need. We rely on the following legal grounds under UK data protection law. Providing the service you ask for, including your account and your trips, is performance of a contract. Keeping the service secure, preventing abuse and fixing faults is our legitimate interest in running a safe service. Marketing emails, such as line-ups, prices and planning tips, are sent only with your consent, which you give by ticking the box when you start a trip and can withdraw at any time using the unsubscribe link in any of those emails. Where the law requires us to keep or share information, we do so to comply with a legal obligation. We do not sell your personal data and we do not use it for third-party advertising.
Who can see trip content
Trip members can see content shared with the group, including plans, votes, booking status, payment marks, shared contacts and wallet items. Flight details follow the visibility choice made by the person adding them. Only add a wallet file if you are comfortable sharing it with the trip. In an emergency, such as a lost phone on the day of travel, we may help a verified trip member reach a ticket stored in their trip wallet. Any such access is logged.
Who we share it with
We use a small number of service providers to run Sync Us. Supabase provides account sign-in. Railway hosts the application and trip data. Stripe processes payments where checkout is enabled. These providers process data on our instructions. Affiliate partners do not receive your personal data from us. We do not share your data with anyone else unless the law requires it.
International transfers
Some of our service providers process data outside the UK, including in the United States. Where that happens, the transfer is protected by UK adequacy regulations or by contractual safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or Addendum.
Storage and deletion
We keep trip information while it is needed to provide the shared trip workspace and support the group’s records. Waitlist entries are kept until early access opens or until you ask to be removed, whichever comes first. Technical logs are kept for a short period for security. A wallet uploader can remove their own item, and the organiser can remove an item for group safety. Deleting an account removes its profile, preferences and owned wallet files. Shared trip history, such as votes, plans and payment records, may remain in anonymised form where other members still need the group record.
Payments
Where Stripe checkout is enabled, Stripe processes the payment details. Sync Us stores the payment amount, type and status against the trip, but does not store card details.

Cookies
We use essential cookies to keep your session active. Analytics on Sync Us, when enabled, runs cookieless and does not track you across sites. You can disable cookies in your browser settings.
Children
Sync Us is not directed at anyone under 18 and we do not knowingly collect data from children. If you believe a child has given us personal data, contact us and we will delete it.
Your rights
You have the right to access your personal data, to correct it, to have it erased, to restrict or object to how we use it, and to receive a copy in a portable format. Where we rely on your consent, you can withdraw it at any time. Account controls let you download your account profile and linked trip memberships, or delete the account data attached to you, without needing to contact us. For anything else, email support@sync-us.online and we will respond within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Changes to this policy
We will update this policy as the service develops and change the date at the top when we do. If a change significantly affects how we use your data, we will tell account holders directly.
